Refund & Cancellation Policy

At Vajra Routes, we understand that travel plans can change. Our refund and cancellation policy is designed to be fair to both our customers and our service providers. Please read this policy carefully before making a booking.

1 Cancellation by Customer

If you wish to cancel your booking, cancellation charges will apply based on the notice period before the travel date:

Note: All cancellations must be submitted in writing via email to info@vajraroutes.com. Verbal cancellations will not be accepted.

2 Refund Process

• Approved refunds will be processed within 7–14 business days from the date of cancellation confirmation.
• Refunds will be credited to the original payment method used at the time of booking.
• Bank processing times may vary; please allow additional time for the amount to reflect in your account.
• Convenience fees, payment gateway charges, or service fees (if any) are non-refundable.

3 Non-Refundable Items

The following are strictly non-refundable under any circumstances:

• Air tickets (domestic and international) once issued
• Visa fees and travel insurance premiums
• Any special permits (e.g., Inner Line Permits)
• Hotel or resort bookings during peak seasons / festival periods where the property enforces a strict no-refund policy
• Any services that have already been utilised

4 Cancellation by Vajra Routes

In rare circumstances, Vajra Routes may need to cancel a tour due to:

• Natural disasters, extreme weather, or Force Majeure events
• Government travel advisories or restrictions
• Minimum group size not met (for group tours)

In such cases, you will be offered a full refund or the option to reschedule to a future date at no additional charge. Vajra Routes will not be liable for any additional costs incurred (e.g., flight tickets booked independently).

5 Amendment & Rescheduling

• Date changes or itinerary amendments requested more than 21 days before departure are subject to a ₹500 amendment fee per person plus any difference in supplier costs.
• Amendments within 21 days of departure are treated as a cancellation and re-booking and will attract standard cancellation charges.
• Name changes (for flight tickets) will be charged as per airline policy.
