Welcome to Vajra Routes. By accessing our website or booking any of our tour packages, you agree to be bound by the following Terms & Conditions. Please read them carefully before making a reservation.

1 General

• These terms constitute a legally binding agreement between you (the traveller) and Vajra Routes.
• By completing a booking you confirm that you have read, understood, and accepted these terms on behalf of yourself and all members of your travelling party.
• We reserve the right to update these terms at any time. The version published on our website at the time of your booking shall apply.

2 Booking & Payment

• A booking is confirmed only upon receipt of the advance payment (minimum 25% of the total tour cost) and our written confirmation.
• The balance amount must be paid in full at least 15 days prior to the tour departure date unless otherwise agreed in writing.
• Prices quoted are per person and are subject to change until the booking is confirmed.
• All prices are inclusive of applicable taxes unless explicitly stated otherwise.
• We accept payments via bank transfer, UPI, credit/debit card, and other methods specified on the booking page.

3 Cancellation Policy

All cancellation requests must be submitted in writing (email) to info@vajraroutes.com. The following cancellation charges apply from the date we receive your written request:

Special Circumstances

• Force Majeure: In the event of cancellation due to natural disasters, government restrictions, pandemics, war, or any circumstance beyond our reasonable control, we will offer a full credit note valid for 12 months. A cash refund will be processed after deducting any non-recoverable amounts already paid to hotels, transport operators, and other suppliers.
• Cancellation by Vajra Routes: If we cancel a tour for reasons within our control, you will receive a full refund of all amounts paid. We are not liable for any additional costs such as airfare or visa fees incurred by you.
• Non-Refundable Bookings: Certain special-price or festival-season packages may be marked as non-refundable. This will be clearly indicated at the time of booking.
• Refund Processing Time: Approved refunds will be credited to the original payment source within 7–14 business days.

4 Amendment Policy

• Requests to change tour dates, destination, or the number of travellers must be submitted in writing at least 15 days before departure.
• Amendments are subject to availability and may attract additional charges based on the revised tour cost difference and supplier fees.
• Name changes are not permitted after booking confirmation.

5 Travel Documents & Health Requirements

• It is the traveller's sole responsibility to hold valid government-issued photo ID and any required travel permits throughout the tour.
• Travellers are responsible for ensuring they meet all health, fitness, and medical requirements for the tour they have booked.
• We strongly recommend purchasing comprehensive travel insurance including trip cancellation, medical, and baggage cover.

6 Inclusions & Exclusions

The specific inclusions and exclusions for each tour package are listed on the respective package page. Unless stated, the following are generally excluded:

• Airfare / train tickets to and from the tour start point
• Travel insurance
• Personal expenses (laundry, tips, telephone, etc.)
• Entry fees to monuments / temples not mentioned in the itinerary
• Any expense arising out of unforeseen circumstances (medical emergencies, strikes, road closures, etc.)

7 Limitation of Liability

• Vajra Routes acts as an organiser of tours and is not directly liable for services provided by third-party suppliers (airlines, hotels, transport operators).
• We shall not be liable for any loss, injury, damage, delay, or inconvenience caused by events beyond our reasonable control.
• Our maximum liability in any claim shall not exceed the total amount paid by the traveller for the affected service.

8 Traveller Conduct

• All travellers are expected to behave in a respectful and responsible manner towards fellow travellers, tour staff, local communities, and religious sites.
• We reserve the right to remove any traveller from a tour without refund if their behaviour is deemed disruptive, offensive, or illegal.

9 Governing Law & Disputes

These Terms & Conditions are governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts of Bangalore, Karnataka.
